Beneficiary Portal Users

By inviting a beneficiary to be a Beneficiary Portal User, you’ll be allowing them to view their account information online. This includes the ability to generate quarterly statements, generate reporting for specific date ranges, and if enabled, the ability to submit disbursement requests through the platform.

A Beneficiary Portal User can either be the beneficiary themselves, or an advocate who you would like to authorize to access information about the account. Accounts can have multiple Beneficiary Portal Users, and users can be linked to several trust accounts.

For beneficiaries that have a True Link Visa® Prepaid Card, they will also be able to view their card settings and the balance available on their card.

Below is a sample screenshot of what a Beneficiary Portal User can see on their dashboard:

How to provide access and send Beneficiary Portal Users invites

Inviting a Beneficiary Portal User starts on the main Trusts page that you will see when you log in to your account.

  1. On the upper right portion of the screen, you will see a link that says “+ Invite New Portal User”. Click this link.

Where to find the "+ Invite New Portal User link
  2. You will be presented with a pop-up that asks you to enter and confirm a few pieces of information.
    1. Trust Beneficiary - This drop-down will allow you to select the beneficiary that the Beneficiary Portal User will need access to.
    2. User First Name and User Last Name - This is the first and last name of the Beneficiary Portal User.
    3. User Email - This is the email address that the user will be using to sign in to their account. This is also where the invitation to join the account will be sent.
      1. At this time, if a user also manages a True Link Visa® Prepaid Card with the email you are using to invite them, they will not be able to become a Beneficiary Portal User. They will need to provide a separate email address to gain access.
    4. Allow user to request disbursements - This is an optional check box that will allow the Beneficiary Portal User to submit disbursement requests via the platform.
    5. Resend user invitation - If your Beneficiary Portal User shared they did not receive the original email invitation to join the account, you can check this box to invite them again.
  • Once the information for the Beneficiary Portal User has been entered, click “Update” and an invitation will be sent to them.

When are invitations sent / how do I know if they've been granted access to the beneficiary advocate portal?

Invitations are sent each weekday around 3:45 pm PT / 6:45 pm ET. If your Beneficiary Portal User reaches out to say they did not receive their invitation, before sending another invite request, we first recommend that they check the spam folder in their inbox. The portal invite is sent from trustsupport@truelinkfinancial.com, so we also recommend that portal users add the Trust Support email as a contact in their email client to ensure delivery.

Reviewing Current Portal User Invitations Recipients

The current status information for Beneficiary Portal Users who have been invited is available at any time by downloading a “Beneficiary advocate portal users” report from the Reports tab.

You can also generate this report for your entire organization by clicking the "Trusts" header-tab, then clicking the "Reports" sub-tab, and downloading the "Beneficiary advocate portal users" report for your entire organization

On the right right-hand side of the report (Column N), you should see two statuses:

  • Invited: This means an invite has been sent but the user has not created their login credentials
    • If the "Created At" date (Column M") is 3+ business days from today's date, we recommend creating a new invite and selecting the "Resend" checkbox since the invites can expire after 72 hours.
  • Linked: This means the user has created their login credentials and currently has access to the beneficiary listed in the row of that.CSV file
